Research Credentialing for Emory University Employees

Research credentialing is for all Emory University (EU) non-provider employees working on clinical research studies, who are patient-facing or non-patient-facing, performing research activities in Emory Healthcare (EHC), EU, other Emory facilities, Emory affiliates, or remote, whether needing access to the OnCore Clinical Trials Management System, Epic Medical Records and Billing System, or Protected Health Information (PHI).

Research credentialing does not apply to EU providers who are licensed Medical Doctors (MDs), fellows, residents, interns, Physician Assistants (PAs), Nurse Practitioners (NPs), observers, or other positions that are governed by Medical Staff Services (MSS). Fellows, residents, interns, and moonlighters share responsibility with the Graduate Medical Education (GME) office. For information, contact ECRO at OCR@Emory.edu

Note: If you are an MD but in an EU non-provider role, you will need to be credentialed. 

  • Phase I: Go-live is Friday, May 22, 2026.
    • Clinical Research Nurses (RN and LPNs) only.
    • Verification of licenses and professional certifications (including AHA BLS/ACLS) will be reviewed on an ongoing basis.
    • Ensure all credentialing documentation is uploaded to eCREST and PeopleSoft. If you are unaware of your eCREST file #, contact OCR@Emory.edu
    • Managers must notify Emory University HR of any non-valid, inactive, or unencumbered licenses or professional certifications. Employees who fail to renew their credentials before the expiration date will not be permitted to work in any capacity until EU HR verifies their renewal.

  • Phase II: Go-live is Tuesday, September 8 (tentatively).
    • All Emory University (EU) non-provider employees working on clinical research studies (e.g., CRCs, CRNs, Interviewers, Specialists, other key personnel).
    • Verification of education, training requirements, background, competencies, vaccinations/immunizations, malpractice insurance, licenses, and professional certifications (including AHA BLS/ACLS). 
    • Starting to prepare for Phase II by ensuring all requirements are current and active.

Common Questions:
  1. To whom does this new EU Research Credentialing process apply? 
    This applies to all Emory University (EU) non-provider employees working on clinical research studies, who are patient-facing or non-patient-facing, performing research activities in Emory Healthcare (EHC), EU, other Emory facilities, Emory affiliates, or remote, whether needing access to the OnCore Clinical Trials Management System, Epic Medical Records and Billing System, or Protected Health Information (PHI).  

  2. If I am a nurse but do not function in that role on a clinical research study, do I still need to be credentialed?
    Yes, because you hold a license. All employees working on clinical research studies, regardless of their delegated tasks, must follow the credentialing requirements for licensed nurses.

  3. What if my PI is a PhD, are they required to complete EU Research Credentialing? 
    It depends on a few things.
    • If the PI is licensed but cannot write orders, the PI is considered an EU non-provider and would be subject to credentialing if they will be seeing subjects in any EU or EHC facility or needing access to OnCore, Epic, or any PHI information.
    • If the PI is licensed and can write orders and work as an EU provider, the PI will need to be authorized or credentialed by Emory Healthcare's Medical Staff Services.
    • If the PI is licensed but functioning as a coordinator, then the PI must be credentialed under that role and would be subject to credentialing if they will be seeing subjects in any EU or EHC facility, or needing access to OnCore, Epic, or any PHI information. Note: In this situation, the licensed PI will not be able to write orders.

  4. Who can I speak with if I have an issue with my current credentialing process? 
    Contact the Emory Clinical Research Office (ECRO) at OCR@Emory.edu or 404.778.4960 to guide you in the right direction. 

  5. Do I stop my current credentialing process since I am not a part of Phase I? 
    No. Please proceed with your credentialing as usual if anything is to be renewed. When Phase II starts, you will already be in active status when the information is verified.

  6. How do I track my current license, education, tracking, vaccinations, etc.?
    Currently, all information is tracked and recorded in the eCREST (Emory Collaborative Research Training) RedCap system. Staff are first introduced to this system at Clinical Research Orientation Training. View the Orientation webpage for more details, and the Onboarding Checklist Summary, v6.

  7. What to do if one of my employees is non-compliant with their credentialing files? 
    Contact both ECRO at OCR@Emory.edu and your HR representative on the next steps.
